Changing UIs for SAP ERP HCM: Q&A on the Latest Enhancements for ESS/MSS with HR Renewal

With SAP's new HR Renewal offering, what are the latest enhancements for on-premise SAP HR self-services?

Welcome to today’s Q&A on HR Renewal 2.0 and the changing UIs for ESS/MSS.

I’m pleased to be joined for this Q&A by HCM consultant Jeremy Masters, who will take your questions today. Jeremy is a long-time speaker at our HR conferences and will be presenting a number of sessions, including one on today’s Q&A topic.

Jeremy, thanks for taking some time to answer questions from our readers.

Amy Thistle: It’s great to have you here! We have questions coming in from readers already, so I’ll let you get started on those now...

HR Renewal 2.0 has ESS and MSS as well as Professional Role based on UI5. Is it possible to enhance the UI5 standard delivered screens and what skill and rolls are required to do that?

Jeremy Masters:  Great question. Yes, HR Renewal has ESS, MSS, and the (relatively) new HR Professional role. These roles are now available out-of-the-box from the HR Renewal solution. If you want to make enhancements to the screens, it will depend on the screen. Some of the screens are SAPUI5 and others are still the Web Dynpro ABAP version. So this depends on what you will enhance. Any newer services will be delivered in SAPUI5, so knowing the SAP NetWeaver Gateway, oData services, HTML, and JavaScript would be critical for updating those services.

Hi Jeremy, HR Renewal 2.0 is not catching up to four quarterly feature packs as in HR Renewal 1.0. What are we expecting next from HR Renewal? Is there a HR Renewal 3.0 this year and what can we expect from it? Also, with the recent announcement of S/4HANA, what is the impact to on-premise HCM customers? Thank you.

Jeremy Masters: Hi Kir Chern, Always great to catch up with you on these Q&As. Your question is a valid one. So you are right that we are not seeing quarterly releases on HR Renewal, and I don't expect that to happen. However, I would expect SAP to continue with the innovation in the SAPUI5 space since this is really the future technology of choice right now, since it's mobile-friendly and has a more modern look and feel.

As far as your question on S/4 HANA and HR, this is really for another whole Q&A :) but, obviously SAP is going to let customers decide when (or if) they would go to that platform.

Comment From @mgillet: Quarterly releases have never been enforced. We normally get the main announcements or hints at HR 2015 then at SAPPHIRE.

Until two years back, we proposed our customers to buy EP for using ESS/MSS for their employees and managers. With HR Renewal in place, if employees can directly access HR Renewal UI5 screens in IE using the ABAP server URL  (/sap/bc/ui5_ui5/sap/arsrvc_suite_pb/main.html?page=SPB_LANDING_PAGE), can we say that EP is not really a must for our new customers?

Jeremy Masters: Correct, you don't need SAP Portal to deliver Employee, Manager and HR self-services. It's one of the options you have. Other options include: NetWeaver Business Client (NWBC), SAP Fiori Launchpad, SAP Cloud Portal, and even third-party portals like WebSphere and SharePoint. Of course, the less standard you go with this, the more integration work you will have with mashups and other UI integration challenges.

Hi Jeremy. Could you please elaborate a bit on how to create a "mashup" if I wanted to access a SuccessFactor page inside HR Renewal? What is involved in doing that, and how complex would it be to set up?

Jeremy Masters: Hi Aage,

Sure thing. A mashup, in web development, is a web page or web application that uses content from more than one source to create a single new service displayed in a single graphical interface.(***from Wikipedia). In other words, we can use a mashup to render an SAP service in SuccessFactors, OR vice versa. In some cases, it's just easier to link out to SuccessFactors Single Sign on. SAP has a "cookbook" already on this. You can access that here. Essentially this just equates to a "pop up" from one or more of the HR Renewal lane.

What is difference between HR Renewal services and Fiori HCM services? Both HR renewal services and SAP Fiori HCM services are conceptually same, based on SAPUI5, Gateway/ODATA services.

Jeremy Masters: Hi Jags, You are asking the 100 million Euro question. :)  Right now, the HR Renewal program and SAP Fiori program have conflicts. For example, they both have: 

  • Leave Request
  • Pay Statement
  • Timesheet
  • Workflow inbox

And, yes, they are conceptually the same, except that SAP Fiori is 100% SAPUI5 but not expansive, and HR Renewal is a mix of SAPUI5 and WebDynpro ABAP -- but a lot more expansive.  Whether these worlds collide, align, that is a question for SAP.  I am sure we will find out some information at the HR2015 conference in Vegas in a few weeks from SAP themselves.

What about the integration of HR Renewal with other SAP systems like CATS on FI/CO System or Fiori? Can I include SAP Fiori which run in our landscape on another system into HR Renewal? If yes, can you give me a hint how to solve this issue? Also I am interested how to integrate CATS (My Timesheet) into HR Renewal, because CATS also runs on an additional system.

Jeremy Masters: Hi Gregor,
Consider HR Renewal a skin on top of SAP PA/OM. The integrations with modules like CATS on another system will behave as it does today. It's not going to help you really in this regard. Wish I had a better answer! :)

Hi Jeremy, What about UI/theme alignment between on-prem SAP HCM (Talent Hybrid) and SuccessFactors? I heard rumors that Fiori/UI5 will be available in SuccessFactors?

Jeremy Masters: Hans Petter,

Great question. In fact, even back when Vishal Sikka was leading the technology direction in SAP, they said they would lead with SAP Fiori. Check out this image that he displayed during SAPPHIRE 2014.  In fact, I believe indeed SAP Fiori is being architected as the overarching umbrella for UI unification between on premise and cloud solutions.  I think these rumors are true. :)

What if we are running Renewal and want to use a SuccessFactor module, but also want the UIs look and feel to remain the same? I was under the impression that SuccessFactors in the future would also receive a Fiori-like skin. Is this correct and if so, is there a timeline for it?

Jeremy Masters: Yes, the "Fiorification" of SuccessFactors is already in the works. Not sure about the timeline - as you can imagine, that's a pretty big effort.

What is the future of SAP Portal? Is it going away?

Jeremy Masters: Mr. Toombs! Thank you for throwing me an easy one - these folks here are asking some good tough questions! (Brandon (@brandontoombs) has a session on the HR Professional role at HR 2015. He is super smart and tells it like it is.)

So, to answer your question, NO, the SAP Portal is NOT going away. It remains a viable option for customers who want what a portal has always given them: personalization, role management, content management, document management, etc.

We can't get rid so easily of the Portal, as it is often used as the main point of entry (intranet like) for Reporting & Self Services...although we now have finally plenty of options!

We are just starting to look at 'customizing' our UI for ESS and MSS. Would you recommend getting into it with SAP Renewal or with Fiori? And could you give a quick summary of the pros and cons of going with one rather than the other.

Jeremy Masters: Hi there, good question which many of us are struggling with.  It deserves a conversation as it depends on the functionality you want and who your audience is (e.g., will this include your HR team?). 
Are you coming to the HR 2015 conference? SAP will probably have some news for us there as well.

Is there an enhancement framework for UI5 services provided by HR Renewal? One of our customers liked HR Renewal UI5 services, and wants all of the ESS and MSS functionality using UI5. For customer requirements, like adding an extra date field in the leave request, with the HR Renewal page it was not possible. However, it is very easy to enhance the WDA-based leave request page.  We asked the customer to go for the WDA service. But the customer wants new date fields to be added on the HR Renewal page.

Jeremy Masters: Hi Jags. Yes, you can update the UI5 services by updating the respective UI5 application. A different question is to what extent can you (or do you want to) enhance the framework of the HR Renewal application (like the lanes, layout, search features, workforce viewer, etc.)?

Is it possible to change the layout of HR Renewal framework (to change the tile size) structure?

Jeremy Masters: Yes, it is possible to change the layout of the HR Renewal framework, but it not recommended since you would be modifying SAP delivered code. The Suite Page Builder is the mechanism for you to “enhance” this framework, but there are limitations on what you can (or should) change. Jeremy Masters: The SAPUI5 applications can be enhanced just like any other objects in the SAP system. For example, for the Leave Request, standard SAPUI5 application HRMSS_LR_APPR_G can either be enhanced (via the Enhancement Framework), or copied into a Z version and updated accordingly. Which direction you will go will depend on the scope of the change, as well as your company's philosophy of development within the SAP environment.

About the forms in Renewal: Is SAP going to make even "prettier"? Is there any difference in the look and experience of the forms if we upgraded to Renewal 2.0 and switched to Roadmap forms?

Jeremy Masters: Great question on the forms.  I have not heard at this time that any work will be done with the forms (HCM P&F or Roadmap). For the time being, they are in Web Dynpro ABAP.

Are you seeing most companies that are implementing HR Renewal using the Fiori Launchpad UX or staying with the delivered HR Renewal landing pages?

Jeremy Masters: Hi Chris, 

Right now it's a mix, to be honest. I have customers implementing HR Renewal and others using the Launchpad. 

To be frank, in most landscapes, for those companies upgrading, it's different to go full on with one technology since many functions outside of HR (e.g. Finance, procurement) might need the portal, for example, to display their functionality. So you could be in a "transition" period longer than you bargained for.

If CHIPs were tiles before Fiori, and Lanes were an early evolution of FLP... do they have any future? It would seem that with all of the focus on FLP, there wouldn't be a need for the landing pages. Or would you see them slotting into FLP?

Jeremy Masters: Hi Kevin,  Really good question.  If SAP goes the Fiori route full hog, I don't see CHIPs playing a role.  Yes, in a SAP Fiori Launchpad situation, we would only care about catalogs and tiles.

The mobile portal also offers mobile UWL, but the Fiori UWL seems more appealing. Which one we should adopt?

Jeremy Masters: Well, I wouldn't install mobile portal just for the UWL. SAP Fiori UWL might be a better option due to its smaller footprint, but again it depends on your current landscape. Do you already have a Gateway installed and configured for your environment? Do you already have the mobile portal installed and in use? These are questions you need to consider before investing additional energy in one solution or another.

With the substitution in Renewal 2.0, is it possible to substitute a manager and have access to only employees in an org unit below the manager while not the ones in the same org unit as the manager? Or would this require some development?

Jeremy Masters: That would require some development.  As you seem to know, substitution will do a full replacement of their span of control, including those direct reports in their own org unit.

Is there the ability to assign the position (different for each employee) to insert the employees into the organizational structure?

Jeremy Masters: Hi Pino, There are definitely services within the HR Professional role that does replace the conventional PA40 and PPOME transactions. I personally don't like them, but they are there. :)

Question: What is the most challenging part: The end user adoption, given the myriad UI options, or the technical upgrade?
Jeremy Masters:
Good one. Honestly, the toughest part has been on the end user adoption.  Make sure you have a good change management consultant who can help articulate the changes in self-service to your organization.  The look and feel for BOTH HR Renewal and SAP Fiori is strikingly different from our past self-services.  (For more on self-services, see our most recent book – authors are myself, Brandon Toombs, Kris Bland, and Justin Morgalis.)

Jeremy Masters: Hi guys, It doesn't really, to be honest. Concur is an independent system. There is nothing in the way of integration at the current time. (Bad answer, but honest answer.) :)

I am looking for more functionality for the managers to manage their positions. Any chance we will get position management functionality out of the box?

Jeremy Masters: With the HR Renewal role, we have a new set of services for this (think PPOME on the web). For managers, you get a new "Workforce viewer" from SAP, but it just launches the HCM Process and Forms. For HCM P&F information, I would suggest the HCM Processes & Forms book from Brandon and Justin on SAP PRESS. It's da bomb.

Which is the recommended future development direction for a client that has already HR on premise solution? HR Renewal, SAP Fiori, or SuccessFactors? What are the main advantages of each solution?

Jeremy Masters: Hi there. Again, the $100 million question. SuccessFactors is cloud, so it's between going Fiori or HR Renewal. Let’s talk after the conference. Depending on SAP's roadmap for the next 12 months, this could influence a decision.

Hi Jeremy! One additional question: our business wants to include the Fiori App Leave Request approval. If this would run on the same system I think it would run, but I have to start it from another system. LPD_CUST allows only System Alias. I entered one (and created a SAP Gateway) to this system, but it didn't work. Kr, Gregor

Jeremy Masters: Depends on where you have your SAP Gateway installed. You can either have it coupled or decoupled from that system.  There's some decent SAP Help documentation on SAP Fiori that you can check out. All Things Fiori from SCN, for example.

Jeremy Masters: Great question. I think we need to define what "work" means. I am being snarky here, but this definitely deserves a conversation.  People define concurrent employee in different ways.

Do you know anything about possibilities for modifications/enhancements of Fiori/HR Renewal standard apps and what types of consequences/choices one will meet in this context? For example, in good-old WDA world you can do enhancements (BAdIs or implicit enhancement). What is the concept in the "new world"? What freedom and restrictions apply if you want to avoid having all apps in Z-namespace (i.e., able to upgrade the system on a regular basis)?

Jeremy Masters: Yes, the enhancement development framework is still at your disposal (Enhancement spots).

For notifications/work items to be received/viewed by the employees (right after they login for instance), is there better UI5 service that is more appealing than powl inbox? (UWL is out of scope, as EP is not in our landscape.)

Jeremy Masters: Yes, there is a new SAP Fiori inbox which is (yet) another UWL. Check out this link.
